FROM THE ARCHIVE

Compliance needs evidence that follows the work.

Policies become useful when people can connect them to decisions and records.

Retrospective editionPrepared for this archive on The edition date identifies its place in the weekly series.

A policy document can describe the right intention while leaving an operational team unsure what to do. I believe compliance becomes more useful when an organization can connect its obligations to the actual steps, owners, and evidence in a workflow.

Begin with a specific decision

Take one decision involving sensitive information or an important approval. Which rule or internal policy applies? Who is responsible for interpreting it? What must the reviewer see before proceeding? The legal and compliance teams should help answer those questions in context. A technology platform should support the resulting process rather than pretend to replace that judgment.

Record what a later reviewer will need

A useful record explains what information was used, which version was relevant, who approved the decision, and what exception was considered. The amount of detail should suit the purpose and applicable retention requirements. Collecting everything without a clear reason can create its own burden and make the important evidence harder to find.

Use review findings to improve the process

I want teams to treat a missing record as a chance to examine the workflow, not simply a request for another spreadsheet. Could the evidence be captured at the moment the work happens? Is the responsibility clear? The leadership aim is to make good practice repeatable. Compliance technology becomes more valuable when it helps people explain their decisions and correct the process that produced an avoidable gap.
