Enterprise AI needs evidence it is allowed to use

Design retrieval around authority, freshness and the ability to challenge an answer.

UNDERSTAND THE CHALLENGE

The business issue

Connecting an AI assistant to internal documents creates a new route to information. The quality of that route depends on what can be retrieved, whether it is current and whether the person asking is entitled to see it.

PUT IT INTO PRACTICE

01

Make the source hierarchy explicit

Identify approved, superseded and draft material. Preserve effective dates and responsible owners. Retrieval should respect the distinction rather than ranking every relevant document as equally authoritative. When sources conflict, the assistant should surface the conflict and route it for review.

02

Carry permissions through retrieval

Test access at the point information is retrieved and displayed. A broadly accessible index should not erase restrictions in source systems. Review logs, snippets and cached outputs as well as full documents. Information can leak through a summary even when the original file remains inaccessible.

03

Evaluate answer quality in context

Use representative questions and difficult cases to assess relevance, grounding and omissions. Require usable references so reviewers can inspect the source. Measure appropriate refusal when evidence is unavailable. A citation-looking string is not proof that the answer is supported; the relationship between claim and source must be checked.

FROM DISCUSSION TO ACTION

A sequence your team can use

Select each stage to explore the proposed action. Adapt the sequence and controls to your business context.

AN ILLUSTRATIVE OPERATING SEQUENCE

Classify

Separate authoritative, historical and draft sources.

↻ Review the evidence. Learn from exceptions. Refine the next decision.

Classify. Separate authoritative, historical and draft sources.

Constrain. Enforce user and task permissions throughout retrieval.

Evaluate. Challenge grounding, conflicts and unavailable answers.

MEASURE WHAT MATTERS

Look for evidence of improvement

Establish a baseline and agree appropriate targets. These are proposed measures, not claims of customer results.

01

Source accuracy

Answers grounded in the correct approved version.

02

Permission integrity

Restricted information absent from unauthorized outputs.

03

Conflict handling

Inconsistent evidence escalated rather than concealed.

How Genellipse can help

Genellipse can connect curated enterprise information to Cortex AI through governed integrations, with GeneData supporting the data foundation. We would test permission boundaries and evidence quality before expanding the assistant’s audience or authority.

Genellipse can connect governed data pipelines through GeneData, analytical views through GeneAnalytics and controlled workflow assistance through Cortex AI. We agree the source systems, access boundaries and acceptance checks with your team. Models and dashboards do not replace ownership of definitions or responsibility for business decisions.
