A software renewal is an investment decision

Recover value by examining usage, overlap and the cost of leaving.

UNDERSTAND THE CHALLENGE

The business issue

Software expenditure becomes difficult to challenge when each renewal is treated as an administrative event. A useful review examines the service being purchased, who depends on it and whether similar capability is already available elsewhere.

PUT IT INTO PRACTICE

01

Connect the contract to actual work

Identify active users, business processes and required capabilities. Distinguish an unused login from a rarely used but critical function. Reconcile commercial entitlements with observed use. A licence count alone cannot show whether the organization is purchasing the right service.

02

Include the transition economics

Assess data extraction, integration changes, retraining, contract terms and temporary overlap before estimating savings. Document who must approve retirement and what evidence demonstrates continuity. Consolidation creates value only when the replacement can support the required work and the old cost actually ends.

03

Make renewal decisions early enough

Maintain a calendar that leaves time for alternatives and negotiation. Assign a business owner to each material service. Review duplicated capabilities across departments, but allow justified exceptions. A common platform can simplify operations; forcing every specialized requirement into it can create costly workarounds.
